UKSBS is a public sector shared service center that supports over 25,000 civil and public servants in the UK by delivering expert finance, HR, procurement and IT services. Around one-third of their 750-strong workforce use a PDF document-editing tool as part of their day-to-day work. In 2022, a proposed change in licensing terms meant the software they were using was set to become more expensive and less convenient. It was time to find an alternative solution. Working in partnership with Softcat, a leading technology solutions provider, UKSBS drew up a shortlist of potential providers before identifying Nitro as the most suitable and cost-effective candidate.

The transition to Nitro began with a three-week pilot. 58 regular users of the legacy document-editing tool were invited to use Nitro PDF Pro. At the end of the three weeks, they were given the opportunity to share their feedback in calls with the Nitro team. Everyone involved in the usability testing reported having a positive experience, so UKSBS pressed ahead with the wider launch, getting their remaining users to make the switch. The onboarding process was straightforward and seamless – and was made even easier thanks to the support offered by the Nitro team. As Andy McKinna, Senior Software Asset Manager at UKSBS, explains: “They provided us with personalized help and training and kept in touch throughout the year to ensure any questions or queries were resolved asap.” Support also came from closer to home, with UKSBS colleagues who had taken part in the pilot program providing informal help and advice to their teams around getting the most out of the new Nitro tool.
