The Challenge

Find a more flexible, cost-efficient way to manage PDF editing

Trestle Management Group is one of the largest independently owned management firms for homeowner associations (HOAs) in the state of Arizona. Record-keeping is a core part of the community management service. So it’s no surprise that every one of the company’s 70+ employees is a Nitro user and depends on the PDF editing tool for their day-to-day work.

Around 18 months ago, the company decided to transition their HOA Community Managers away from mini desktops and onto laptops. It made sense because the role involves working out in the field and, often, outside office hours. But it also highlighted a long-standing issue that Office Manager, Kristi Avis, was keen to address.

She explains: “We had been purchasing Nitro licenses in four packs from gonitro.com. Every time an employee joined, we’d activate a new license, which would then be tied to that user on that specific machine. However, this was not the most efficient approach for us because it meant buying a new license every time someone left – and we are an industry with relatively high employee turnover.”

So, Kristi had a choice. Purchase licenses in the usual way for the HOA Community Managers’ new laptops or take the opportunity to switch to a licensing model that was better suited to the company’s needs.

For the last 18 months, Trestle Management has been using Nitro Pro Business, purchased through a subscription model. Kristi explains: “Everything is just so much quicker and easier now. I go to the admin portal and there are 77 active licenses that I can distribute where needed. It’s user-based rather than machine-based, so if an employee leaves, I just have to revoke their license and re-assign it to whoever comes in next.”

Licensing isn’t the only area where the business has benefited from the switch. Kristi again: “One of the added bonuses of transitioning to the user-based model was that Nitro Sign came as part of the package. We were using another e-signing provider before, but only a couple of users had access to the software – and they were getting overwhelmed with e-signing requests from other employees. Now we can all use Nitro Sign and everybody is happy.”
